Crisis Communication for Companies

Crisis communication does not decide whether a crisis happens. It decides how it ends.

Most companies know that a crisis can occur. Only a few are truly prepared, and this is rarely due to indifference, but usually simply a result of day-to-day business.

Definition

What is crisis communication?

Crisis communication is the communicative part of crisis management: how, when, and to whom a company speaks in a crisis situation.

Goal: to provide transparent information and orientation, both internally and externally, and to limit reputational damage as much as possible.

In professional terminology, a distinction is made between closely related disciplines:
  • Issues Management: early communication regarding emerging risks
  • Risk Communication: preventive communication before a crisis
  • Reputation Communication: long-term trust building
We support all three, and the transitions between them.

Important difference:

Crisis management = all operational measures for damage control.

Crisis communication = the communicative part of it.

Why is crisis communication crucial for companies?

Professional crisis communication not only limits reputational damage; it can even strengthen trust in the long term.

Every company can fall into a crisis: through its own actions, through external events, or through a moment taken out of context. Companies without a crisis plan often react too slowly or too inconsistently, frequently making the situation worse than necessary.

Companies that communicate in a prepared and structured manner emerge stronger from crises, sometimes with more credibility than before. This applies to medium-sized companies just as much as to DAX-listed corporations.

Why dot.communications? Our perspective

We come from a journalism background. Our consultants have worked in editorial offices, at broadcasters, and in press departments, and therefore know how a story is created, tips over, or can be turned in the media. It is precisely this perspective that is decisive in a crisis: we do not think in terms of press releases, but in terms of headlines, potential journalistic inquiries, and what will be written about you tomorrow.

We know from over 200 mandates: the first few hours are decisive. Preparation is not a nice-to-have, but the difference between sovereignty of interpretation and loss of control.

“It is not the severity of the crisis that decides how it ends. It is how it is communicated. Companies that speak clearly, honestly, and quickly emerge stronger.”

Birgit Jakobs, Founder and Managing Director of dot.communications

Crisis situations

Typical crisis situations, from issues management to insolvency

Crises rarely arise where they are expected. And they almost always escalate faster than anticipated. In each of these situations, communication influences how severely trust and reputation are affected:

Production failures or technical malfunctions with public visibility

Labor conflicts, strikes, protests, or demonstrations

Management errors or strategic missteps

Economic crises and restructurings

Insolvency proceedings

Reputational risks through social media, media reports, or whistleblowers

Natural disasters or external events (pandemics, geopolitical crises)

Fraud, corruption, or compliance violations

Crisis examples

What current crises teach about communication

Three examples from 2025/2026 and what they mean for your reputation communication.

Berlin Power Outage, January 2026

Operational crisis turns into a reputational disaster.

What happens when not only the power but also the communication fails?

After an arson attack on a cable bridge in Lichterfelde, around 100,000 people were without power for days. The major incident was not declared until over 30 hours later. When the power had long since returned, the Senate sent out a warning of extreme danger. At the same time, it became known that the responsible mayor had been playing tennis in the meantime. What began as a private episode became a persistent PR crisis.

→ Lesson: Communicative credibility cannot be built up after the fact. It is created in the moment of the crisis, or not at all.

Deutsche Bahn / Anke Engelke, October 2025 to February 2026

Successful campaign loses its foundation due to a change in context.

How can a communication strategy become a burden even though it worked?

The web series with Anke Engelke achieved a reach of 50 million. Then, in early February, a train attendant died following a physical assault, and the production costs of around seven million euros were made public. The railway stopped the campaign: a continuation was no longer appropriate for the times.

→ Lesson: No communication strategy is immune to a change in context. Issues management also protects ongoing campaigns.

Munich Airport / Lufthansa, February 2026

Operational failure turns into a crisis because communication falls silent during the decisive night.

Does it take harm to life and limb for a situation to become a reputation crisis?

Hundreds of passengers involuntarily spent a night in planes ready for takeoff or in the terminal after heavy snowfall. Too few bus drivers, incorrect deployment. The airport spoke self-critically of deficits in communication. Lufthansa and the airport only apologized publicly after requests from several media outlets and announced compensation.

→ Lesson: Those who remain silent during the critical night and beyond leave the sovereignty of interpretation to others.
Central Building Blocks

Preparation: The Foundation of Successful Crisis Communication

When the crisis escalates, it is too late for planning. Those who only start then lose the most critical hours. Structured preparation decides between sovereignty of interpretation or loss of control. Central building blocks:

Communicative risk analyses and development of potential crisis scenarios

Clearly defined communication processes and decision-making paths

Clear responsibilities, including for vacation periods and weekends

Prepared core messages and text modules for various channels

Up-to-date contact lists for media, journalists, and stakeholders

Continuous monitoring of media, social media, and public discussion

Regular crisis exercises and stress tests, including for executives

Our offer

We offer a structured crisis stress test. Weak points in the communication organization are specifically uncovered before things get serious.

Around 400 jobs affected, the central question: Who finds out first?

400 affected jobs

staged communication

objective reporting

Approach:

We developed a staged communication strategy: internal information first; employees, the works council, and the local public did not find out from the newspaper. This was followed by coordinated external outreach with a consistent message line for all channels.

Result:

The reporting remained objective. Contradictory statements were prevented. The company maintained sovereignty of interpretation throughout the entire process.

Publicly visible customer complaints and social media

Wave of complaints on social channels, every minute counts.

Development of critical FAQs

Community management

Approach:

We took over monitoring and response management. A personal approach was developed—fast, without escalation, and reliable.

Result:

The negative resonance quickly flattened out. The company regained communication sovereignty.

Accident on company premises

Serious accident resulting in death; authorities, relatives, and media all get in touch at the same time.

Organized communication cascade

Competent crisis team

Approach:

We supported immediate crisis communication: initial statement, internal information for the workforce, coordinated handling of media inquiries.

Result:

The company acted transparently, compassionately, and proactively. Media reporting remained objective.

Collective bargaining dispute and strike

Management and union under pressure, internal uncertainty prevails.

On-site contact persons

Stringent messages

Approach:

We developed a clear communication line for management, HR, and the press office. Media inquiries were handled by a central spokesperson, and internal updates were released regularly and consistently.

Result:

The company communicated confidently. The public portrayal remained balanced. After the negotiations were concluded, the workforce’s trust was largely intact.

Business Closure

Discontinuation of business: many addressees, one message, and room for the future.

Future-oriented communication strategy

External press office

Approach:

We took over overall management: internal, external, and toward the media. All messages were aligned with a core statement. Through the parallel sale of the brand, we were able to create a future perspective for employees and customers.

Result:

The end was narrated as a new beginning, not as a pure loss.

Process

Our Approach: Crisis Communication in 5 Steps

Effective crisis communication is not created under time pressure, but through forward-looking planning, clear responsibilities, and a well-thought-out communication strategy. This is exactly where we come in.

01

Analyze the situation

What happened? What information is verified? What risks exist—for people, for the company, for the public?
02

Activate crisis team

A defined team immediately takes over coordination. Clear responsibilities prevent chaos.
03

Develop core messages

Clear, understandable messages create orientation, both internally and externally. They prevent contradictory statements.

04

Manage communication

Information flows in a coordinated manner across all relevant channels. Immediately stop or adapt ongoing marketing measures depending on the context.

05

Monitor and adjust

Monitoring is not a one-time step, but an ongoing process. New developments require quick reactions.

Principles

What makes crisis communication successful?

Not the budget. Not the size of the team. It is six principles, and those who know them are prepared.

Speed

Whoever communicates first maintains sovereignty of interpretation.

Transparency

Cover-ups or evasion worsen every crisis.

Consistency

Contradictory statements internally and externally destroy trust.

Humanity

Crises generate emotions. Communication must take this into account.

Preparation

Those who have already developed and established messages and processes gain time.

Monitoring

Only those who know what is being discussed publicly can make targeted adjustments.

Insolvency Communication

Communication when the most is at stake

When a company goes into insolvency, more is at stake than its reputation. It is about jobs. About supplier relationships that have grown over years. About the question of whether a restructuring will succeed or whether communication will prevent it.

Those who remain silent or evasive during insolvency often accelerate exactly what they wanted to prevent: the loss of trust.

Employees, customers, suppliers, creditors, and the media simultaneously expect fast and reliable information in an environment of uncertainty, rumors, and conflicts of loyalty.

Professional insolvency communication provides:
  • Stabilizing trust and preventing panic
  • Securing ongoing business operations through targeted communication
  • Informing employees early and honestly
  • Providing the public and media with clear messages
  • Laying the foundation for successful restructuring or reorganization

We support companies in restructuring situations with consultants who know this situation, both professionally and personally. Because insolvency communication is a decisive factor in whether a company gets a second chance.

When should I engage external crisis consulting?

Sooner than you think. The earlier we are involved, the more room for maneuver remains.
  • When internal resources and expertise are insufficient for the crisis situation
  • When an objective external perspective is needed to bring objectivity to the situation
  • When the crisis generates high media interest and professional media work is necessary
  • When executives need to be prepared for interviews or public appearances
  • When communication must take place internally and externally at the same time and capacities are lacking

Our principle: Those who only call when the crisis has already escalated waste the most critical hours.

FAQ

Frequently Asked Questions about Crisis Communication

Answers to the most important questions regarding crisis communication.

Request initial consultation

Crisis management = operational measures. Crisis communication = the communicative part of it.

Crisis management includes all steps from damage control to the restoration of normal operations. Crisis communication decides how the company speaks internally and externally during this process—how, when, and to whom.

Crisis communication is acute. Reputation communication is long-term.

Crisis communication begins when a situation escalates or threatens to escalate. Reputation communication is the permanent work on trust, credibility, and positioning; it is a prerequisite for crisis communication to be effective at all.

Issues management is crisis communication before the crisis arrives.

It describes the systematic process of identifying emerging risks, critical topics, and potential conflicts early on and addressing them communicatively before they escalate publicly. Those who practice issues management have a decisive advantage in an emergency.

In acute crisis situations, we are reachable within a few hours. Call us directly or write to us; we get involved quickly and, if necessary, take over complete communicative management.

That depends on the type and severity of the crisis. For existential topics, management is required; for technical questions, the responsible executive; for routine inquiries, the press office. The decisive factor is: one voice, one line. We define with you in advance who speaks in which scenario and prepare this person specifically.

Social media is an accelerant; algorithms, trolls, and agitation intensify every crisis. The most important question is not “What do we answer?” but “When do we answer, when do we moderate, and when do we escalate internally?”. We take over monitoring and response management and develop a line that de-escalates instead of adding fuel to the fire.

Yes. During the crisis stress test, we specifically check your communication organization for weak points: processes, responsibilities, messages, and reachability. This way, you know where you stand before things get serious.

A social media crisis can subside in days. We support a restructuring over months. This depends heavily on the type of crisis. We provide support as needed, from acute crisis intervention to long-term reputation work.

The decisive question is: What does unprofessional crisis communication cost? Reputational damage, loss of revenue, and loss of trust almost always exceed the fee of an experienced agency. The costs depend on the scope, duration, and complexity. We are available at short notice for an initial assessment.
